Operations and People Engagement Manager

Reporting to the Chief Operating Officer (COO), the Operations and People Engagement Manager oversees the administrative systems, project management, and people engagement functions of the organization, including recruitment of paid staff and volunteers, building and updating central tools to assist with operations, programs and people engagement.

Reports to: COO
Deliverables & Duties
- Develop and/or optimize Reconciliation Canada’s administrative and operations framework, IT infrastructure, policies and procedures
- Manage and review all organization contracts, including insurance policies, office lease, vendors
- Keep up to date and ensure protection and security of confidential files and records, including personnel files
- Provide support with the preparation of annual budget and administration of the organization’s funds according to the approved budget
Programs and Initiatives
- Support the CEO, COO and program managers with delivery, integration, management and coordination of all Reconciliation Canada’s programs and initiatives enabling consistency with established parameters (scope, time, budget)
- Coordinate material preparation for the Board of Directors meetings, develop appropriate reports for the Board of Directors and provide logistical support as required for the Board
- In collaboration with CEO, COO, and program managers, develop strategy and workforce plans for resourcing current and planned projects
- Support the CEO and COO with monitoring and assessing organizational structure, team culture and workload on an ongoing basis, making recommendations as required
- Support the team with additional duties as required

Human Resources and Volunteer Engagement (as part of the HR team)
- Support the recruitment process for staff, contractors and volunteers, ensuring all relevant sourcing and screening procedures are adhered to, and make hiring recommendations
- Identify workforce skills/competencies gaps and make innovative recommendations for training and support solutions
- Provide direction for the execution of best-practice strategies for human resources and volunteer engagement policies and procedures including recruitment, training and competency development, performance evaluation, onboarding and workforce retention
- Liaise with the on HR trends/issues, coach staff and volunteers on dealing with conflicts and support these conversations as required
Skills & Experience
We are looking for someone with a broad understanding of non-profit management who has experience working in a dynamic, small organization with big dreams. Specific requirements include:
- 5 or more years of experience in a similar role in a non-profit organization
- Human resources and volunteer engagement experience. Experience with managing paid staff and volunteers
- Proven track record of success facilitating progressive organizational change and development within a growing organization
- Entrepreneurial, proactive team player, who can effectively breakdown large pieces of work into activities and prioritize based on milestones and deadlines
- Management skills; ability to influence and engage direct and indirect reports and peers
- Self-reliant, good problem solver, results oriented
- Strong written, oral, interpersonal, and presentation skills and the ability to effectively communicate with senior management, board of directors, and staff
- Ability to operate as an effective tactical as well as strategic thinker
- Experience with G-suite tools (Gmail, Google Drive, etc.), project management tools (e.g. Asana)
